How training works in GIRI

What training can do

  • List of people: add people one by one or import them from Excel or CSV. Workers need neither a GIRI account nor an email address.
  • Training requirements: any instruction can be a training, with a type, a department, a minimum number of trained people and a validity period.
  • Record with signature: at the end of the training the person confirms with their signature. GIRI stores the date, version, result and how the person confirmed.
  • Matrix: who is trained for what, what expires soon and where people are missing to reach the minimum.
  • Exports: a qualification record per person, a training record per training and an attendance list per group training as PDF, plus Excel and CSV.
  • Distribution: via the instruction’s link and QR code, with Send training, as Train a group on a tablet and, with the Number + PIN sign-in, via My trainings. For an external LMS there is the SCORM package.

Activation

Without activation there is no Training menu item, and the Record as training switch is missing from an instruction’s settings. Once activated, admins, QM and Team Admins find Training in the Menu and, on a PC, on the start page under Help & training. A workspace that gets training for the first time starts with the Number + PIN sign-in. An admin can change this at any time, see Pick a name or number + PIN.

Who may do what

Who What
Workspace Admin everything: people, trainings, records, settings, PIN cards
QM: workspace role Approver, Compliance Approver or Compliance Manager read and export all people, trainings and records
Team Admin of a team read the people of the department named like the team, plus Send training and Train a group.
Workers no access to the page; they confirm trainings in the worker view, without a GIRI account

Readers see a notice at the top of the page such as Read only – changes are made by an admin.

Key terms

  • Person: an entry in the list of people, not a GIRI account.
  • Training: an instruction with a training requirement. Records only come in once it is published.
  • Record: a person’s confirmed training. It counts for every version of the instruction.
  • Status: trained, expiring (within the next 30 days), expired or not trained.
  • Department: links people, trainings and Team Admins. Upper and lower case do not matter.

Getting started

  1. Add and import people
  2. Define training requirements
  3. Choose how workers sign in and, for Number + PIN, print the PIN cards
  4. Distribute: QR code or link, Send a training, Train a group, My trainings
  5. Read the matrix and export records

Limits

  • GIRI itself sends no emails and no reminders about training. Send training opens your WhatsApp or mail program, or copies the text.
  • There are no quizzes and no learning paths.
  • No record is created in the Preview.
  • The signature is a simple electronic signature made with a finger.
  • A new version of the instruction does not reset existing records.
